Receivable Report to Receivable Voucher: A Practical Guide on Syncing Fee Receivables from LingXing ERP to Kingdee Cloud Cosmic
What This Strategy Solves
In cross-border and multi-channel retail scenarios, a retail enterprise's receivables typically come from platform fees, commissions, warehousing charges, and ad deductions—data that usually lands in LingXing ERP as a receivable report. Finance, however, books these as fee-based receivable vouchers in Kingdee Cloud Cosmic for clearing, reconciliation, and voucher generation. The problem is that the two document models don't match: LingXing reports receivables by platform + shop, while Kingdee books them by customer + expense category. If you rely on manual exports, the two sides will inevitably drift within three months. This strategy converts receivable reports into Kingdee receivable vouchers in a stable, traceable way.
Data Flow and Field Mapping
Data flows: LingXing ERP (Receivable Report) → Qeasy Integration Platform (intermediate layer for cleansing, mapping, transformation, and logging) → Kingdee Cloud Cosmic (Receivable Voucher – Fee Receivable).
Key field mapping:
- LingXing "shop / platform account" ↔ Kingdee "customer code": resolved through a customer master data mapping table; unmatched entries route to an exception queue.
- LingXing "fee type" ↔ Kingdee "expense / revenue item": centrally managed via code mapping, with FBA fees, ad fees, and commissions landing as separate voucher body lines.
- LingXing "receivable amount" & "currency" ↔ Kingdee "base-currency amount" & "original-currency amount": the base currency is driven by Kingdee's exchange rate system; the platform currency rides along as original currency.
- LingXing "business date / billing cycle" ↔ Kingdee "business date" & "document date": business date takes priority; document date is generated per booking rules.
- LingXing "platform document number" ↔ Kingdee "header remark / source document number": used for cross-system reconciliation and traceability.
How to Configure on Qeasy
We use the Qeasy data integration platform to host this strategy. Recommended configuration points:
- Source extraction: Use Qeasy's LingXing ERP adapter to pull receivable reports incrementally by business date. Use a composite incremental key of "billing settlement time + document number" to avoid missing or duplicate records.
- Target write: Call Kingdee Cloud Cosmic's receivable voucher API with a staged header-then-body approach—write the header first, then iterate over body entries. This is a common pattern among Qeasy customers.
- Centralized code mapping: Keep customer codes, expense item codes, and currency mappings in Qeasy's data mapping center so changes take effect in one place instead of being scattered across strategies.
- Idempotency and write-back: Use "source document number + platform" as the unique key to prevent duplicates; write back the linked document number status to LingXing on success.
- Exception handling: Route missing exchange rates, missing customers, and blank required fields into separate exception channels for manual or downstream compensation.
- Logging and reconciliation: Enable Qeasy's per-document logging, capturing source document number, Kingdee document number, amount, and currency—the four elements you need for month-end reconciliation.
Implementation Steps
We typically split the rollout into three phases for a steadier pace:
Step 1: Align the incremental starting point. Pick a clear business date as the incremental start (e.g., seven days before go-live) so the receivable report and Kingdee receivable voucher share the same data window, avoiding a flood of historical drift on the first run.
Step 2: Full-trigger and gap closure. On go-live day, run a full backfill covering the most recent complete settlement cycle. Then reconcile voucher by voucher on the Kingdee side, and use Qeasy to immediately localize whether each gap is a mapping error, exchange-rate issue, or missing source data. Running incremental and full loads in parallel is another common pattern among Qeasy customers.
Step 3: Lock in the schedule. Receivable reports are usually produced on each platform's settlement cycle (typically daily or every other day). Configure Qeasy with a "daily scheduled + incremental trigger" combo: the schedule handles routine pulls, the trigger catches delayed bills; add retry and alerting on top.
Pitfalls and Lessons Learned
- Unmapped customer codes: Many customers use shop IDs in LingXing but full customer names in Kingdee. This is a common trap. The safe move is to maintain a "shop–customer code" mapping table in Qeasy and onboard new shops into the mapping before syncing.
- Misaligned expense item codes: If platform fees, ad fees, and commissions all book into the same revenue item, month-end reports lose all expense structure. The typical mistake is reusing one code for convenience—map each fee type one-to-one in the mapping center instead.
- Inconsistent currency and exchange-rate conventions: LingXing holds platform currency; Kingdee needs the base currency. Without a rate source, amounts distort. We have Qeasy call a rate service once at the transformation layer so original and base amounts are both persisted.
- Overly loose idempotency keys: Using only business date causes missed records when platforms delay settlement; using only document number causes duplicates on retransmission. The safe composite key is "business date + platform document number".
- Silent exception queues: If the exception channel in Qeasy has no alerting, dozens of documents sit unnoticed for a month. Pipe the exception queue to your enterprise IM or email, with a clearly assigned owner.
When to Use and When Not to Use
Use this when a cross-border or multi-platform retail enterprise needs fee-type receivables from LingXing ERP booked into Kingdee Cloud Cosmic as fee-based receivable vouchers, and accepts a dual incremental + full-load sync. Do not use it for purely domestic trade, single-collection-channel businesses, scenarios with reconciliation frequency below weekly, or businesses that require real-time per-invoice clearing instead of cycle-based booking.
